Privacy Policy

Your privacy matters.

ROARANGE Business Strategies, LLC and its team does not have access to your AI interactions (including chat conversations and uploaded documents) unless you explicitly choose to share information for a human MBA review.

1. Who we are

ROARANGE.ai is a service operated by ROARANGE Business Strategies, LLC ("we", "us", "our"). This Privacy Policy explains what information we collect, how we use it, and the choices you have.

2. Information we collect

We collect the following categories of information:

  • Account information. Name, email address, and profile photo from your sign-in provider (Google or email). Authentication is handled by Clerk. Signing in with Google (for account creation) does not grant ROARANGE.ai access to your Gmail — that is a separate, optional connection described below under "Connected mailboxes."
  • Connected mailboxes (ROARANGE.ai Assistant only). If you choose to connect a Microsoft (Outlook) or Google (Gmail) mailbox so that Leo, our email assistant, can triage your inbox, we receive an OAuth access token and refresh token from that provider. Using those tokens, Leo reads recent messages and their attachments to produce summaries and draft replies, marks messages as read, moves them to folders you designate, and saves drafts. For Microsoft mailboxes we additionally use the Files.Read.All scope to open Word, Excel, and PowerPoint files linked from OneDrive or SharePoint inside those emails. We only fetch the specific files referenced in email bodies you are actively reviewing — we do not browse, list, or index your OneDrive. For Microsoft mailboxes we additionally request Calendars.Read to power the "Next up on your schedule" card, Tasks.ReadWrite to mirror your Roarange to-dos into Microsoft To Do, and Chat.Read to surface unread Teams direct messages alongside email. For Google mailboxes we additionally request the tasks scope to mirror your Roarange to-dos into your Google Tasks default list, and userinfo.email / userinfo.profile to label the connected account in our interface. All of these are optional incremental grants powering user-visible features. Tokens are encrypted at rest. You can disconnect a mailbox at any time from the Assistant dashboard, which immediately revokes our stored tokens.
  • Business context. Information you voluntarily provide during onboarding or in your profile (e.g., industry, company stage, goals) to personalize your advisor's responses.
  • Conversations and uploads. Messages you send to the AI advisor and any documents you upload are stored so you can return to them.
  • Billing information. Payment processing is handled by Stripe. We do not store your full card number. We receive a customer ID, subscription status, and billing email.
  • Usage data. Standard server logs (IP address, browser type, pages visited, timestamps) used for security and service reliability.
  • Limited outbound call pilot. If an authorized customer user approves a call, we process the recipient's name and phone number, the customer's instructions and approved call purpose, call status and timing, a real-time text transcript, a call summary, and any opt-out request. During the pilot we do not retain an audio recording of the call.

3. How we use your information

  • Provide and personalize the ROARANGE.ai advisor service.
  • Process payments and manage your subscription.
  • Send transactional email (receipts, account notices, founder review responses) via Resend.
  • Maintain security, prevent abuse, and troubleshoot issues.
  • Place individually approved pilot calls, generate call transcripts and summaries, enforce calling-hour controls, and honor recipient opt-out requests.
  • Comply with legal obligations.

4. Confidentiality of your AI interactions

Your chat conversations and uploaded documents are stored confidentially. ROARANGE Business Strategies, LLC staff does not read, review, or otherwise access them in the normal course of operating the service. The only exceptions are:

  • Human MBA review (opt-in). If you purchase a Founder Review or otherwise explicitly request human review, the specific information you share for that review will be read by our MBA reviewer.
  • Legal compulsion. If we receive a valid legal order (subpoena, court order, etc.) compelling disclosure.
  • Critical safety or security investigation. Narrowly scoped access by authorized staff if required to investigate fraud, abuse, or a credible threat.

5. AI processing

To generate responses, your messages and relevant business context are sent to Anthropic's Claude API. Anthropic processes the content under its own terms and does not use API content to train its public models. We do not sell your data, and your data is not used to train any public AI model. This applies equally to email content and attachments processed by the ROARANGE.ai Assistant (Leo): they are sent to Anthropic solely to generate your summary or draft, and Anthropic does not use them to train its public models.

Outbound call processing. For an individually approved pilot call, the recipient's speech is converted to text in real time and relevant transcript text is processed by our AI provider so Leo can respond and prepare a summary for the customer. Leo discloses that it is an AI assistant at the start of the call. The transcript is not an audio recording; the pilot does not retain call audio.

Live web search. When your question depends on current or external information (for example, regulations, prices, or news), the advisor (Ari) may perform a live internet search using Anthropic's web search capability, and answers that used search include a list of sources. The AI is instructed to search only for general topics and never to include your private details — such as client names, email contents, or financial figures — in a search query. Search queries are processed by Anthropic under the same API terms described above.

6. Google user data — Limited Use disclosure

ROARANGE.ai's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We use Gmail data (via the gmail.modify and gmail.send scopes) only to provide and improve user-facing features of the ROARANGE.ai Assistant that are visible and prominent in the app's interface — namely, summarizing recent emails and drafting replies for your approval. We additionally use the tasks scope (optional) to mirror your Roarange to-dos into your Google Tasks default list, and the userinfo.email / userinfo.profile scopes to identify and label the connected Google account in our interface. Both of these are visible to you in the Assistant's mailbox and tasks UIs.
  • We do not transfer Google user data to any third party except as necessary to provide or improve those features, to comply with applicable law, or as part of a merger, acquisition, or sale of assets with notice to users.
  • We do not use Google user data to serve advertisements, and we do not sell Google user data.
  • We do not use Google user data to develop, improve, or train generalized or non-personalized AI/ML models. Email and document content is sent to Anthropic's Claude API at request time solely to generate your summary or draft, under Anthropic's API terms which prohibit training on API content.
  • Human access to Google user data is restricted to the cases already listed in section 4 above (your opt-in human MBA review, valid legal compulsion, or narrowly scoped security investigation), plus the additional case of your explicit support request asking us to look at a specific issue.

7. Service providers

We rely on these trusted vendors to operate ROARANGE.ai:

  • Replit — hosting, database, deployment.
  • Clerk — authentication and account management.
  • Stripe — payments and subscription billing.
  • Anthropic — AI model that powers the advisor and Assistant.
  • Resend — transactional email delivery.
  • Twilio — phone connectivity and real-time speech processing for individually approved pilot calls.
  • Google — optional Google sign-in; optional Gmail access for Assistant users who connect a Google mailbox.
  • Microsoft — optional Outlook/Microsoft 365 access for Assistant users who connect a Microsoft mailbox.

8. Data retention

We retain your account, business context, and conversation history for as long as your account is active. If you delete your account (Profile → Danger Zone → Delete account), we cancel your subscription and remove your account from our systems. Backups and legal-hold copies may persist for a limited period.

For pilot calls, we retain call status and timing, the text transcript, summary, approval and safety records, and recipient opt-out status while needed to provide the feature, prevent repeat contact after an opt-out, resolve disputes, maintain security, and meet legal obligations. We do not retain an audio recording during the pilot. Opt-out records may be kept after other call data is deleted so the request continues to be honored.

9. Your rights and choices

  • Access & update. Edit your business context and profile any time from the Profile page.
  • Delete. Permanently delete your account from Profile → Danger Zone. This also cancels any active subscription.
  • Cancel billing. Manage or cancel your subscription from the Billing page.
  • Stop pilot calls. A call recipient can say they do not want further calls during the call or contact us using the email below. We record the request and block further pilot calls to that number.
  • Email us. For any privacy question or request, email hello@roarangebusinessstrategies.com.

10. Cookies

We use essential cookies and similar technologies required for authentication (Clerk), payment processing (Stripe), and basic site functionality. We do not use third-party advertising or cross-site tracking cookies.

11. Security

We use industry-standard safeguards including encryption in transit (HTTPS), encrypted credentials at rest, and access controls. No internet service can guarantee perfect security, but we work continuously to protect your data.

12. Minors

ROARANGE.ai is intended for adult business users in the United States and is not directed to anyone under 18 years of age.

13. Geographic scope

ROARANGE.ai is currently intended for users located in the United States. We do not knowingly market or provide the service to users in other jurisdictions.

14. Changes to this policy

We may update this Privacy Policy as the service evolves. When we do, we'll update the "Last updated" date at the top. Material changes will be communicated by email or in-app notice.
